Position Overview

We are seeking an energetic, highly organized, and relationship driven Inside Sales / Business Development Administrator to support our growing sales team throughout Illinois and Wisconsin.

This position plays a critical role in supporting sales growth by proactively generating new business opportunities through cold calling and outreach, providing administrative assistance, and coordinating customer activities. The ideal candidate is outgoing, confident, and enjoys interacting with people. In addition to supporting account managers and existing customers, this individual will conduct outbound prospecting, identify potential opportunities, perform cold-calling activities, and schedule appointments with prospective clients.

This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and wants to be directly involved in helping grow the business in a multitude of markets including K-12, hospitals, manufacturing, and other commercial building types. The successful candidate will serve as a key link between customers, sales representatives, service operations, and internal support teams while contributing to Helm’s continued growth.

This role is located in our Freeport, IL office.

Key Responsibilities

  • Business Development & Lead Generation – Drive business growth through outbound prospecting, cold calling, lead qualification, appointment setting, and proactive relationship-building with prospective customers.
  • Sales Support & Customer Coordination – Support the sales team by coordinating customer interactions, preparing proposals and documentation, scheduling meetings, and maintaining organized records and account information.
  • Customer Relationship Support- Foster strong customer relationships by providing responsive communication, supporting account managers, and ensuring exceptional service and follow-up.
  • Order Processing: Managing set-up documentation when the team closes a sale, ensuring a smooth transition to dispatch and operations and accurate order processing.
  • Reporting & Data Management – Maintain accurate CRM data, track sales and prospecting activities, generate reports, and manage customer information with confidentiality and attention to detail.
  • Marketing & Team Collaboration – Support marketing initiatives and customer outreach while collaborating with sales, service, and operations teams to enhance customer experience and drive business performance.
  • Process Improvement: Identify opportunities for improving service processes and contribute to the development of best practices to enhance operational efficiency.
  • Data Management: Enter and update service information in the company’s CRM or service management system. Ensure data accuracy and confidentiality.

Requirements

  • High School Diploma or equivalent
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Experience in sales support, customer service, administration, inside sales, business development, or a related field
  • Strong verbal and written communication skills
  • Comfortable making outbound prospecting and cold calls
  • Excellent organizational and time management skills
  • Ability to learn and work within our service software systems
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional and customer-focused attitude
  • Ability to find the positive in any situation
  • Experience in HVAC, mechanical service, construction, facility services, or building maintenance industries preferred
  • Familiarity with CRM software and sales tracking tools preferred
  • Experience with lead generation and prospecting activities preferred
  • Understanding of commercial service agreements and maintenance programs preferred

Salary & Benefits

Range: $40,000-$60,000 annually.
