Position Overview

Are you an experienced HD Fleet Coordinator with expertise in buying and selling heavy equipment, trucks, trailers, and fleet assets? Helm’s Truck & Equipment division is seeking a skilled professional to oversee the planning, procurement, rental coordination, and disposal of construction equipment and heavy-duty truck and trailer assets across the Helm Group companies. Working closely with company leadership, project teams, vendors, equipment dealers, and the Helm Truck Shop, you will play a key role in ensuring our fleet remains efficient, cost-effective, and ready to support operational needs.

In this role, you will also support the Helm Truck and Equipment’s Truck Division by assisting with the procurement, sales, and remarketing of used trucks and trailers for external customers, making this an excellent opportunity for someone with experience in both fleet management and commercial equipment operations. This position is located in our Freeport, IL office.

Key Responsibilities

Source and procure new and used construction equipment, heavy-duty trucks, trailers, medium-duty trucks, and major attachments.
Evaluate equipment specifications, pricing, and lifecycle costs to support operational needs.
Solicit bids, negotiate pricing, warranties, service agreements, trade-in values, and delivery schedules with manufacturers, dealers, and vendors.
Coordinate equipment demonstrations and field evaluations.
Maintain equipment acquisition records and support fleet budgeting, forecasting, and capital planning.
Assist in developing fleet replacement strategies and equipment standardization initiatives.
Coordinate the sale, trade-in, or auction of surplus and underutilized equipment to maximize asset recovery.
Maintain accurate documentation for titles, registrations, ownership transfers, and disposal transactions.
Serve as the primary contact for equipment rental requests across Helm operating companies.
Identify opportunities to utilize existing fleet assets before sourcing outside rentals.
Negotiate rental agreements, monitor utilization, and recommend equipment purchases when ownership is more cost-effective than long-term rentals.
Support the Helm Truck Shop by sourcing, purchasing, marketing, and selling used trucks, trailers, and transportation equipment to external customers.
Coordinate inspections, transportation, reconditioning, upfitting, detailing, title processing, and delivery activities.
Develop and maintain strong relationships with equipment dealers, truck dealers, rental companies, auction firms, transportation providers, and commercial fleet customers.
Prepare reports related to fleet acquisitions, rentals, disposals, utilization, inventory, and market trends.
Ensure compliance with company purchasing and disposal procedures and documentation standards.
Assist with special projects and additional responsibilities as assigned.

Requirements

Minimum of five (5) years of experience in heavy equipment fleet management, equipment procurement, equipment sales, equipment rental, dealership operations, truck or trailer sales, or a related construction or transportation industry role.
Strong knowledge of heavy construction equipment, semi-tractors, trailers, medium-duty trucks, and related attachments including basic operating/driving skills and mechanical aptitude.
Experience evaluating equipment condition, specifications, market value, pricing, and lifecycle costs.
Strong negotiation, communication, and relationship-building skills.
Excellent organizational skills with the ability to manage multiple projects and priorities simultaneously.
Proficiency with Microsoft Excel and Microsoft Office Suite.
Valid driver’s license.
Class A CDL or the ability to obtain one. (Preferred)
Experience purchasing and remarketing construction equipment or commercial transportation assets. (Preferred)
Experience working with truck shops, dealerships, equipment auctions, rental providers, or commercial fleet customers. (Preferred)
Experience using Viewpoint Vista, Smartsheet, telematics platforms, fleet management software, equipment management systems, or ERP software. (Preferred)
Associate’s or Bachelor’s degree in Business, Supply Chain, Construction Management, Transportation, or a related field is preferred but not required. (Preferred)

Salary & Benefits

Range: $70,000 – $85,000
